Job Summary

BrightSteps NGO is seeking a highly organized and proactive Event Coordinator to join our mission-driven team. The ideal candidate will be responsible for planning, executing, and managing events that raise awareness, foster community engagement, and support our charitable initiatives. This role demands creativity, exceptional organizational skills, and the ability to coordinate with multiple stakeholders, ensuring events align with the NGO’s vision and objectives.

Key Responsibilities

  • Plan, organize, and execute events including fundraisers, awareness campaigns, workshops, and community outreach programs.
  • Coordinate logistics such as venue selection, catering, transportation, and on-site arrangements.
  • Collaborate with internal teams, volunteers, donors, sponsors, and external vendors to ensure smooth execution of events.
  • Develop and manage event budgets, track expenses, and ensure cost-effectiveness without compromising quality.
  • Promote events through digital channels, social media, and traditional marketing methods.
  • Monitor event performance, gather feedback, and provide post-event reports with recommendations for improvement.
  • Ensure all events comply with organizational policies, safety regulations, and legal requirements.
  • Build and maintain relationships with community partners, stakeholders, and sponsors.

Required Skills and Qualifications

  • Bachelor’s degree in Event Management, Communications, Public Relations, or a related field.
  • Strong project management and organizational skills with attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to multitask and manage several events simultaneously under tight deadlines.
  • Proficiency in MS Office Suite, event management software, and social media platforms.
  • Creative problem-solving skills and ability to adapt to changing circumstances.
  • Understanding of the NGO sector and sensitivity to community and social issues.

Experience

  • Minimum 2–4 years of experience in event planning, preferably in the nonprofit or NGO sector.
  • Demonstrated experience in coordinating large-scale events, fundraising activities, or community programs.
  • Proven track record of managing budgets and delivering successful events from inception to completion.

Working Hours

  • Full-time position (40 hours/week) with flexibility to work evenings or weekends as required by events.
  • Some travel may be necessary for site visits or off-site events.

Knowledge, Skills, and Abilities

  • Strong interpersonal and networking skills to engage diverse stakeholders.
  • Ability to lead a team of volunteers and collaborate with cross-functional teams.
  • Strong analytical skills for post-event evaluation and reporting.
  • Exceptional time management skills and ability to prioritize tasks effectively.
  • Familiarity with fundraising strategies, sponsorship acquisition, and donor relations is a plus.
