Job Summary:

WelcomeHub Services is seeking a professional, personable, and detail-oriented Front Desk Executive to serve as the first point of contact for clients, visitors, and employees. The ideal candidate will embody professionalism, excellent communication skills, and a proactive approach to administrative tasks. This role requires managing the reception area, coordinating appointments, handling calls and emails, and ensuring smooth daily operations.

The Front Desk Executive is crucial in representing WelcomeHub Services’ brand and creating a welcoming environment while supporting internal teams with administrative responsibilities.

Key Responsibilities:

  • Greet and assist visitors, clients, and employees with a friendly and professional demeanor.
  • Manage multi-line phone systems, direct calls appropriately, and take accurate messages.
  • Schedule appointments, meetings, and coordinate conference room usage.
  • Maintain and update visitor logs, office records, and administrative documentation.
  • Assist with mail handling, courier services, and office supply management.
  • Support HR and other departments in organizing events, onboarding sessions, and employee communications.
  • Ensure the reception area is clean, organized, and equipped with necessary materials.
  • Handle basic inquiries about company services and direct requests to the relevant departments.
  • Manage emergency protocols and coordinate with security when necessary.

Required Skills and Qualifications:

  • High school diploma or equivalent; a Bachelor’s degree is a plus.
  • Proven experience as a receptionist, front desk executive, or in a similar administrative role.
  • Proficiency in MS Office (Word, Excel, Outlook) and office equipment.
  • Exceptional verbal and written communication skills.
  • Professional appearance and a courteous, approachable demeanor.
  • Strong organizational and multitasking abilities.
  • Ability to maintain confidentiality and handle sensitive information appropriately.

Experience:

  • Minimum of 1–3 years of experience in front desk or administrative roles, preferably in corporate or service-oriented environments.
  • Exposure to customer service or client-facing roles is highly advantageous.

Working Hours:

  • Standard office hours: Monday to Friday, 9:00 AM – 6:00 PM.
  • Flexibility to work occasional extended hours during events or peak periods may be required.

  • Strong interpersonal and communication skills for effective interaction with clients, visitors, and colleagues.
  • Ability to prioritize tasks and work efficiently under pressure.
  • Detail-oriented with excellent record-keeping and administrative skills.

  • Familiarity with office safety procedures and protocols.
