Job Summary

VirtualTask Hub is seeking a highly organized, proactive, and detail-oriented Personal Assistant to support executives and key team members remotely. This role is ideal for someone who excels at multitasking, managing schedules, coordinating tasks, and ensuring smooth daily operations in a fast-paced, virtual work environment. The Personal Assistant will act as a reliable point of contact, facilitating communication and improving efficiency across teams while maintaining the highest level of professionalism and confidentiality.

Key Responsibilities

  • Manage calendars, appointments, and meetings, ensuring timely scheduling and reminders.
  • Handle email correspondence, filter messages, and prioritize actionable items.
  • Coordinate virtual meetings, prepare agendas, and record meeting minutes.
  • Organize travel arrangements, including itineraries, bookings, and logistics.
  • Maintain digital files, records, and documentation for easy accessibility.
  • Conduct basic research and prepare reports or summaries as needed.
  • Assist with project tracking, deadlines, and follow-ups across teams.
  • Serve as a liaison between executives, clients, and internal teams.
  • Perform other administrative tasks to ensure seamless daily operations.

Required Skills and Qualifications

  • Proven experience as a Personal Assistant, Executive Assistant, or in a similar administrative role.
  • Excellent verbal and written communication skills in English.
  • Strong organizational and time management abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
  • Familiarity with virtual collaboration tools (Zoom, Slack, Trello, Asana, etc.).
  • Ability to handle confidential information with discretion and integrity.
  • High attention to detail and problem-solving skills.

Experience

  • Minimum of 1–3 years of experience in administrative support, personal assistance, or executive support roles.
  • Experience in remote work or managing tasks virtually is highly preferred.

Working Hours

  • Full-time or part-time remote work.
  • Flexible hours with the possibility of occasional early or late meetings depending on executive schedules.
