Job Summary
DeskPoint Services is seeking a highly organized and proactive Office Support Executive to join our dynamic team. The ideal candidate will play a crucial role in ensuring smooth daily office operations, supporting management and staff, and maintaining efficient administrative workflows. This role requires attention to detail, strong communication skills, and the ability to multitask in a fast-paced office environment.
Key Responsibilities
- Manage daily office operations, including filing, record-keeping, and document management.
- Assist management with scheduling meetings, preparing agendas, and taking minutes.
- Handle inbound calls, emails, and correspondence professionally and promptly.
- Maintain office supplies, procurement processes, and vendor coordination.
- Support HR and finance teams with basic administrative tasks such as onboarding, attendance tracking, and expense reports.
- Prepare reports, presentations, and documents as required by management.
- Ensure adherence to company policies and procedures in all administrative activities.
- Coordinate internal and external communications to enhance workflow efficiency.
Required Skills and Qualifications
- Bachelor’s degree in Business Administration, Management, or related field preferred.
- Proven experience in office administration or executive support.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Ability to handle confidential information with discretion.
- Problem-solving mindset and attention to detail.
Experience
- Minimum of 1–3 years of experience in office administration, executive support, or related roles.
- Experience in coordinating office workflows, vendor management, or clerical duties is a plus.
Working Hours
- Full-time position.
- Standard office hours: Monday to Friday, 9:00 AM to 6:00 PM.
- Flexibility may be required for urgent tasks or special projects.
