Job Summary

FileCare Solutions is seeking a detail-oriented and organized Office Records Clerk to join our administrative team. The ideal candidate will be responsible for maintaining, organizing, and managing company records, ensuring accuracy, accessibility, and compliance with regulatory requirements. This role is critical for supporting operational efficiency and assisting various departments in retrieving and managing important documents.

Key Responsibilities

  • Maintain and update both physical and electronic records, including filing, indexing, and retrieving documents.
  • Ensure accurate documentation and proper organization of office records in compliance with company policies.
  • Monitor records retention schedules and oversee timely disposal or archiving of outdated documents.
  • Assist in preparing reports and summaries based on company records as requested by management.
  • Support departmental needs for document retrieval and distribution in a timely manner.
  • Conduct regular audits of records to ensure accuracy and completeness.
  • Implement and maintain secure systems for confidential information.
  • Collaborate with team members to streamline record-keeping processes and improve operational efficiency.

Required Skills and Qualifications

  • High school diploma or equivalent; associate’s degree in office administration or related field preferred.
  • Strong organizational skills and attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic database management.
  • Ability to handle confidential information with discretion.
  • Strong written and verbal communication skills.
  • Ability to work independently and as part of a team.
  • Basic knowledge of office equipment such as scanners, copiers, and fax machines.

Experience

  • Prior experience in office administration, records management, or clerical work is preferred.
  • Familiarity with electronic filing systems and document management software is an advantage.

Working Hours

  • Full-time position: Monday to Friday, 9:00 AM – 5:30 PM.
  • Flexibility may be required occasionally to meet deadlines.
