Job Summary
SmartOffice Hub is seeking a highly organized and proactive Admin Support Specialist to join our remote team. This role is crucial in ensuring smooth day-to-day operations, providing administrative support across departments, and maintaining effective communication channels. The ideal candidate will be detail-oriented, tech-savvy, and capable of managing multiple tasks efficiently in a remote work environment.
Key Responsibilities
- Provide administrative support to management and team members, including scheduling, correspondence, and document preparation.
- Manage and maintain digital filing systems, ensuring accurate record-keeping and easy retrieval of information.
- Coordinate virtual meetings, prepare agendas, and take detailed minutes.
- Assist with onboarding new team members and support HR-related documentation.
- Monitor and respond to emails, calls, and other communications professionally and promptly.
- Track project progress and assist in generating reports for management review.
- Support team members with data entry, presentation preparation, and other administrative tasks as required.
Required Skills and Qualifications
- Proven experience as an administrative professional or in a similar role.
- Excellent written and verbal communication skills in English.
- Strong organizational and time management abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
- Ability to work independently, prioritize tasks, and meet deadlines in a remote setting.
- Comfortable with digital collaboration tools such as Slack, Zoom, or Trello.
Experience
- Minimum of 1–3 years of experience in administrative support, office management, or related roles.
- Experience in remote work environments is highly preferred.
Working Hours
- Full-time, flexible remote working hours.
- Availability during core business hours for team meetings and coordination is required.
