Job Summary

Rand Water is seeking a highly organized and proactive Secretary to provide comprehensive administrative support within the Water Cycle Management division. The successful candidate will play a crucial role in ensuring the smooth operation of day-to-day office functions, coordinating meetings, managing correspondence, and supporting senior management and project teams. This position demands a detail-oriented professional capable of maintaining confidentiality, managing multiple priorities, and fostering effective communication across departments.

Key Responsibilities

  • Provide professional administrative and secretarial support to the Water Cycle Management team, including senior managers.

  • Manage calendars, schedule meetings, and coordinate appointments, ensuring efficient use of time.

  • Prepare, proofread, and format correspondence, reports, presentations, and other documents.

  • Maintain accurate filing systems, both electronic and physical, ensuring documentation is accessible and organized.

  • Assist in the preparation of meeting agendas, taking minutes, and distributing them in a timely manner.

  • Act as the first point of contact for internal and external stakeholders, handling inquiries professionally.

  • Coordinate travel arrangements, including accommodation, transport, and itineraries for staff as required.

  • Support team projects by tracking deadlines, following up on action items, and ensuring compliance with internal procedures.

  • Perform general office duties, including managing office supplies, handling mail, and maintaining a tidy workspace.

  • Facilitate communication between departments to support workflow and project efficiency.

Required Skills and Qualifications

  • National Diploma or Bachelor’s degree in Office Administration, Business Management, or related field.

  • Proven experience as a Secretary, Administrative Assistant, or similar administrative role.

  • Excellent organizational, planning, and time-management skills.

  • Strong written and verbal communication skills.

  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and other office management software.

  • Ability to handle sensitive and confidential information with discretion.

  • High attention to detail and accuracy in all tasks.

  • Strong interpersonal skills, capable of working with diverse teams and stakeholders.

Experience

  • Minimum of 2–3 years of experience in an administrative or secretarial role, preferably within a water, environmental, or engineering-related organization.

  • Experience supporting senior management and multi-disciplinary teams is highly desirable.

Working Hours

  • Full-time role, Monday to Friday.

  • Standard office hours: 08:00 – 16:30.

  • Occasional extended hours may be required to support meetings or project deadlines.
