InfoTech Solutions is seeking a highly organized and detail-oriented Remote Scheduler and Calendar Assistant to support our dynamic team. This role involves managing schedules, coordinating meetings, and ensuring seamless communication across departments. Key Responsibilities

  • Manage and maintain executives’ calendars, ensuring appointments, meetings, and deadlines are accurately scheduled.

  • Coordinate internal and external meetings, including sending reminders, booking virtual meeting rooms, and preparing agendas.

  • Act as a point of contact between executives, clients, and team members to ensure smooth communication.

  • Prioritize and resolve scheduling conflicts in a timely and efficient manner.

  • Maintain accurate records of appointments and update calendars in real-time.

  • Provide support for special projects, events, or ad-hoc scheduling requests as needed.

  • Collaborate with team members to streamline workflow and enhance overall organizational efficiency.

Required Skills and Qualifications

  • Strong proficiency in calendar management tools such as Google Calendar, Microsoft Outlook, and scheduling software.

  • Exceptional organizational and multitasking abilities.

  • Excellent verbal and written communication skills.

  • High attention to detail and accuracy.

  • Ability to handle confidential information with discretion.

  • Tech-savvy and comfortable using collaboration tools (Zoom, Slack, Teams, Asana, etc.).

Experience

  • Minimum of 2 years experience in scheduling, executive assistance, or administrative support.

  • Prior experience working in a remote or virtual environment is preferred.

  • Experience supporting senior management or cross-functional teams is a plus.

Working Hours

  • Flexible working hours to accommodate different time zones.

  • Full-time or part-time options available, depending on candidate availability.

  • Occasional weekend or after-hours meetings may be required.
