Job Summary

RealtyAssist America is seeking a highly organized, tech-savvy, and proactive Real Estate Virtual Assistant to support our real estate operations. In this role, you will assist agents, brokers, and internal teams with administrative tasks, lead management, client communication, listing coordination, and transaction support. You will play a key part in improving productivity, enhancing client experience, and ensuring seamless daily operations for our real estate professionals.

Key Responsibilities

  • Manage and update property listings on MLS and other real estate platforms.

  • Handle inbound inquiries, schedule appointments, and coordinate showings for clients and agents.

  • Conduct market research, prepare CMA reports, and gather neighborhood or property data as needed.

  • Maintain CRM systems by organizing leads, tracking follow-ups, and nurturing client relationships.

  • Assist with drafting contracts, addendums, offers, and other real estate documents under agent supervision.

  • Provide transaction coordination support from contract to closing, ensuring all deadlines and documents are completed.

  • Create marketing materials such as property flyers, social media posts, and email campaigns.

  • Communicate professionally with clients, lenders, inspectors, and title companies to track progress.

  • Organize calendars, handle email correspondence, and perform general administrative support tasks.

  • Prepare weekly performance reports and task summaries for agents or management.

Required Skills and Qualifications

  • Strong written and verbal communication skills in English.

  • Proficiency with real estate CRMs (e.g., kvCORE, Follow Up Boss, LionDesk, RealtyJuggler).

  • Knowledge of MLS platforms and listing procedures (training can be provided).

  • High level of accuracy, attention to detail, and commitment to meeting deadlines.

  • Ability to multitask and manage shifting priorities in a fast-paced environment.

  • Strong computer skills, including Google Workspace, Microsoft Office, and online productivity tools.

  • Familiarity with social media content creation for real estate (Facebook, Instagram, LinkedIn).

  • Professional and courteous client interaction skills.

Experience

  • Minimum 1–3 years of experience as a Virtual Assistant, Real Estate Assistant, or Administrative Assistant.

  • Prior experience in real estate, property management, or transaction coordination is highly preferred.

  • Experience using CRM systems, digital marketing tools, and online scheduling software is a plus.

Working Hours

  • Flexible remote schedule based on business needs.

  • Availability to work 20–40 hours per week, depending on workload and client assignments.

  • Must be able to align with U.S. time zones (EST, CST, MST, or PST).
