Job Summary

OptiCore Assist is seeking a highly organized and detail-driven Virtual Operations Assistant to support daily business operations and ensure smooth workflow across departments. This role is ideal for a proactive individual who excels in multitasking, process coordination, and remote teamwork. You will play a key role in assisting leadership, optimizing operational procedures, and contributing to efficient business performance.

Key Responsibilities

  • Support operational planning, scheduling, and coordination of internal and external activities.

  • Maintain and update project trackers, dashboards, databases, and operational documents.

  • Assist in the creation and implementation of standard operating procedures (SOPs).

  • Monitor operational processes and identify areas for improvement.

  • Provide administrative support, including email management, meeting coordination, and documentation.

  • Communicate with team members, clients, and vendors to ensure timely execution of tasks.

  • Prepare reports, summaries, and presentations for management review.

  • Handle task prioritization, follow-ups, and deadlines to keep projects on track.

  • Offer support in onboarding new employees, contractors, or partners as needed.

Required Skills and Qualifications

  • Bachelor’s degree in Business Administration, Operations Management, or related field (preferred).

  • Proven experience in operations support, project coordination, or administrative roles.

  • Strong proficiency in office productivity tools (Google Workspace, Microsoft Office, project management tools).

  • Excellent verbal and written communication skills.

  • Strong organizational and multitasking abilities.

  • Ability to work independently with minimal supervision.

  • High attention to detail and accuracy.

  • Tech-savvy and comfortable working with cloud-based tools.

Experience

  • 1–3 years of experience in operations, administration, project support, or a virtual assistant role.

  • Experience working in remote or distributed teams is a plus.

Working Hours

  • Flexible remote schedule with availability during standard business hours.

  • Occasional extended hours may be required during high-priority periods or project deadlines.
