Job Summary
The Executive Secretary will provide high-level administrative and professional support to the CEO, ensuring smooth daily operations, effective communication, and exceptional organizational efficiency. This role demands a discreet, detail-oriented, and proactive professional who can manage sensitive information, coordinate executive-level activities, and represent the CEO Office with utmost professionalism.
Key Responsibilities

Manage the CEO’s calendar, schedule appointments, and coordinate meetings, conferences, and travel arrangements.

Prepare, proofread, and edit documents, presentations, reports, and correspondence on behalf of the CEO.

Handle confidential information with discretion and maintain professional integrity at all times.

Coordinate communication between the CEO and internal/external stakeholders, ensuring timely responses and follow-ups.

Organize and maintain digital and physical filing systems for efficient information retrieval.

Assist in the planning, execution, and documentation of executive projects and initiatives.

Track deadlines, commitments, and pending action items, providing regular reminders and updates.

Attend meetings when required, take minutes, and ensure follow-through on assigned tasks.

Manage office supplies, vendor coordination, and administrative requirements for the CEO Office.

Perform any additional administrative or executive support duties as assigned.
Required Skills and Qualifications

Bachelor’s degree in Business Administration, Office Management, or a related field.

Strong command of English—both written and verbal; excellent grammar and professional communication skills.

Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook) and modern digital productivity tools.

Experience

2–5 years of experience as an Executive Secretary, Executive Assistant, or similar administrative role.

Prior experience supporting C-level leadership is preferred.

Experience in corporate, multinational, or fast-paced environments is an advantage.
Working Hours

Full-time role.

Standard office hours, with flexibility to support CEO-level commitments when necessary.
