Job Summary

Trade Links is seeking a detail-oriented and highly organized Export Documentation Officer to manage and coordinate all export-related documentation processes. The ideal candidate will ensure timely preparation, verification, and submission of export documents in compliance with international trade regulations, company policies, and client requirements. This role is crucial for maintaining smooth logistics operations and ensuring a seamless export process.

Key Responsibilities

  • Prepare, review, and process all export documentation, including commercial invoices, packing lists, bills of lading, certificates of origin, and insurance documents.

  • Coordinate with shipping lines, freight forwarders, customs brokers, and clients to ensure timely document submission.

  • Verify that all documentation complies with international trade regulations, Incoterms, and company standards.

  • Maintain accurate records of export transactions and generate reports as required by management.

  • Support the export team in resolving documentation discrepancies or shipping issues.

  • Assist in audits and ensure compliance with local and international trade laws.

  • Communicate proactively with internal departments and external stakeholders to streamline export procedures.

Required Skills and Qualifications

  • Bachelor’s degree in Business Administration, International Trade, Logistics, or a related field.

  • Strong knowledge of export/import regulations, documentation, and international shipping procedures.

  • Proficiency in MS Office (Excel, Word, Outlook) and experience with logistics software.

  • Excellent attention to detail and organizational skills.

  • Strong written and verbal communication skills in English.

  • Ability to work independently and as part of a team in a fast-paced environment.

Experience

  • Minimum 2–4 years of experience in export documentation, logistics, or international trade operations.

  • Prior experience in handling shipping documents, customs clearance, and coordination with freight forwarders is highly preferred.

Working Hours

  • Full-time position

  • Standard office hours: Monday to Friday, 9:00 AM – 6:00 PM

  • Flexibility may be required during peak export seasons or urgent shipments.

  • Strong understanding of international trade compliance and export procedures.

  • Ability to manage multiple tasks simultaneously while meeting strict deadlines.

  • Problem-solving skills to address documentation errors or shipping delays.

  • Strong interpersonal skills to interact with vendors, clients, and internal teams.

  • High level of integrity and commitment to confidentiality in handling sensitive information.
