Job Summary

US CEO Support is seeking a highly organized, proactive, and detail-oriented Executive Virtual Assistant to provide top-tier administrative and operational support to senior leadership. This role is ideal for someone who thrives in a fast-paced environment, can work independently with minimal supervision, and excels in managing executive priorities with accuracy and professionalism. As part of our day-shift operations, you will serve as a trusted partner in scheduling, communication management, project coordination, and ensuring the CEO’s daily workflow runs seamlessly.

Key Responsibilities

  • Manage executive calendars, appointments, meetings, and travel arrangements with efficiency and accuracy.

  • Handle email correspondence, filter priorities, and draft professional responses on behalf of the CEO.

  • Prepare reports, presentations, documents, and meeting materials as needed.

  • Conduct research, compile data, and present information to assist decision-making.

  • Coordinate cross-functional communications with internal teams and external partners.

  • Monitor project deadlines, track progress, and ensure timely completion of assigned tasks.

  • Maintain confidential files, records, and sensitive information with the highest level of integrity.

  • Support daily administrative tasks including organizing documents, scheduling follow-ups, and managing executive to-do lists.

  • Assist with operational activities, business planning tasks, and special projects as assigned.

Required Skills and Qualifications

  • Bachelor’s degree in Business Administration, Management, Communications, or any related field (preferred but not required).

  • Excellent verbal and written communication skills.

  • Strong organizational and time-management abilities.

  • Proficiency in Microsoft Office, Google Workspace, and online collaboration tools (Zoom, Slack, Trello, etc.).

  • Ability to work independently, multitask, and adapt to evolving priorities.

  • High level of professionalism, discretion, and confidentiality.

  • Strong problem-solving skills and a proactive approach.

Experience

  • At least 1–3 years of experience as an Executive Assistant, Virtual Assistant, Administrative Assistant, or similar role.

  • Experience supporting US-based executives is an advantage.

  • Background in remote work environments is highly preferred.

Working Hours

  • Full-time, Day Shift

  • US business hours

  • Monday to Friday

  • Occasional flexibility may be required based on executive needs.
