Job Summary

InfoTech Solutions is seeking a highly organized, proactive, and detail-oriented Virtual Executive Assistant – CEO Support to provide high-level administrative and strategic support to our Chief Executive Officer. This fully remote role is ideal for a professional who thrives in a fast-paced, dynamic environment and can handle multiple priorities with discretion, professionalism, and efficiency.

As a trusted partner to the CEO, you will play a critical role in streamlining operations, managing communications, coordinating schedules, and supporting key business initiatives. This position requires exceptional organizational skills, strong communication abilities, and the capacity to anticipate needs before they arise.

Key Responsibilities

  • Provide comprehensive administrative support to the CEO, including calendar management, meeting coordination, and travel arrangements.

  • Act as the primary point of contact between the CEO and internal/external stakeholders.

  • Prepare, edit, and manage correspondence, reports, presentations, and confidential documents.

  • Organize and prioritize emails, messages, and action items on behalf of the CEO.

  • Schedule and coordinate virtual meetings, board meetings, and executive-level discussions.

  • Maintain accurate records, files, and documentation.

  • Assist in project management by tracking deadlines, deliverables, and follow-ups.

  • Conduct online research, data collection, and market analysis as required.

  • Support strategic initiatives and special projects assigned by the CEO.

  • Handle sensitive information with the highest level of confidentiality and integrity.

Required Skills and Qualifications

  • Excellent verbal and written communication skills in English.

  • Strong organizational and time management abilities.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.

  • Experience using productivity and collaboration tools (Zoom, Slack, Trello, Asana, Notion, etc.).

  • High level of professionalism, discretion, and emotional intelligence.

  • Ability to multitask and manage competing priorities effectively.

  • Strong problem-solving skills and a proactive mindset.

  • Tech-savvy with the ability to quickly adapt to new tools and systems.

Experience

  • Minimum of 3–5 years of experience as an Executive Assistant, Virtual Assistant, or in a similar senior administrative role.

  • Previous experience supporting C-level executives or senior leadership is highly preferred.

  • Experience working in a remote or hybrid environment is an advantage.

Working Hours

  • Full-time, remote position.

  • Standard business hours aligned with the CEO’s time zone (flexibility may be required for global coordination).

  • Occasional availability outside regular hours for urgent matters or executive meetings.

  • Ability to anticipate executive needs and act independently with minimal supervision.
