Job Summary

OneTech Associates is seeking a highly organized and empathetic Remote Customer Intake Coordinator – Telehealth to join our growing virtual healthcare operations team. This role is critical in ensuring a seamless first point of contact for patients, supporting the intake process, and facilitating efficient communication between patients and healthcare providers. As a Customer Intake Coordinator, you will play a key role in delivering a positive patient experience by managing inquiries, collecting essential information, and ensuring all patient records are accurate and compliant with healthcare standards.

This is a fully remote position, ideal for professionals who are detail-oriented, tech-savvy, and passionate about contributing to accessible and patient-centered healthcare services.

Key Responsibilities

  • Serve as the primary point of contact for patients via phone, email, and online portals.

  • Collect, verify, and update patient demographic, insurance, and medical information.

  • Schedule appointments and coordinate with clinicians and care teams.

  • Ensure accurate documentation in electronic health record (EHR) systems.

  • Explain intake procedures, consent forms, and telehealth processes to patients.

  • Maintain confidentiality and comply with HIPAA and other data protection regulations.

  • Resolve patient inquiries and escalate complex issues when necessary.

  • Collaborate with internal teams to improve patient workflows and service quality.

  • Track and report intake metrics and patient feedback.

Required Skills and Qualifications

  • Excellent verbal and written communication skills in English.

  • Strong customer service and interpersonal abilities.

  • High level of accuracy and attention to detail.

  • Proficiency in Microsoft Office and web-based systems.

  • Ability to manage multiple tasks in a fast-paced environment.

  • Comfortable working independently in a remote setting.

  • Familiarity with telehealth platforms and EHR systems is a plus.

Experience

  • Minimum of 1–3 years of experience in customer service, healthcare administration, medical reception, or patient support.

  • Prior experience in telehealth, healthcare coordination, or call center operations is preferred.

  • Experience handling sensitive and confidential information is highly desirable.

Working Hours

  • Full-time, remote position.

  • Standard working hours: Monday to Friday, with flexibility based on time zone coverage.

  • Occasional weekend or evening shifts may be required depending on business needs.
