Job Summary:
HopeLine Org, a dynamic and mission-driven non-profit organization dedicated to supporting underprivileged communities, is seeking a highly organized and proactive NGO Administration Officer. The ideal candidate will oversee the smooth functioning of administrative operations, support program implementation, and contribute to organizational efficiency. This role requires a blend of organizational expertise, communication skills, and dedication to the NGO’s mission.
Key Responsibilities:
- Manage day-to-day administrative tasks, including correspondence, documentation, and record-keeping.
- Oversee office operations and ensure a well-structured work environment.
- Assist in budget tracking, procurement, and financial documentation in collaboration with the finance team.
- Coordinate with program teams to support project planning, reporting, and execution.
- Prepare reports, presentations, and other materials for internal and external stakeholders.
- Maintain accurate donor records, grant documentation, and compliance reports.
- Facilitate smooth communication between staff, volunteers, and external partners.
- Support HR-related activities, including staff onboarding, attendance tracking, and training schedules.
- Implement and maintain organizational policies and procedures to enhance operational efficiency.
Required Skills and Qualifications:
- Bachelor’s degree in Business Administration, Management, Social Work, or a related field.
- Strong organizational and multitasking skills.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office management tools.
- Basic knowledge of finance and accounting principles.
- Ability to handle sensitive information with confidentiality.
- Strong problem-solving skills and attention to detail.
Experience:
- Minimum of 2–4 years of experience in administration, preferably within an NGO or non-profit environment.
- Experience in coordinating multiple projects and managing administrative processes is highly desirable.
Working Hours:
- Full-time role, typically Monday to Friday.
- Standard working hours: 9:00 AM – 5:30 PM.
- Flexibility may be required for special projects or events.
Knowledge, Skills, and Abilities:
- Knowledge of NGO operations, governance, and compliance requirements.
- Strong ability to prioritize tasks and manage time effectively.
- Ability to work independently and as part of a collaborative team.
