VirtuOffice Ltd is seeking a highly organized and proactive Remote Office Coordinator to manage daily administrative operations, ensure smooth workflow, and support remote teams. Key Responsibilities
- Oversee and coordinate day-to-day administrative tasks to ensure smooth business operations.
- Manage virtual office communications, including emails, scheduling meetings, and maintaining calendars.
- Prepare reports, documents, and presentations as needed.
- Assist in onboarding new employees and providing necessary tools and resources for remote work.
- Maintain digital filing systems and ensure all records are up to date.
- Coordinate with different departments to streamline processes and enhance team collaboration.
- Handle confidential information with discretion and professionalism.
- Monitor project timelines and ensure deadlines are met.
- Provide support for virtual events, team meetings, and company-wide initiatives.
Required Skills and Qualifications
- Bachelor’s degree in Business Administration, Management, or a related field (preferred but not mandatory).
- Proven experience in office administration or coordination role (remote experience is a plus).
- Strong organizational skills with excellent attention to detail.
- Proficient in Microsoft Office Suite, Google Workspace, and other collaboration tools (e.g., Slack, Zoom).
- Ability to multitask, prioritize, and manage time effectively.
- Exceptional written and verbal communication skills.
- Self-motivated, proactive, and comfortable working independently.
Experience
- Minimum 1–3 years of experience in administrative or coordination roles.
- Prior experience in a remote work setting is highly desirable.
Working Hours
- Full-Time: Monday to Friday
- Flexible working hours with overlapping availability for team meetings (typically between 9:00 AM – 6:00 PM, based on time zone).
Knowledge, Skills, and Abilities
- Strong knowledge of virtual collaboration tools and cloud-based systems.
- Ability to troubleshoot minor tech issues and assist team members with basic setup.
- Exceptional problem-solving abilities with a solution-oriented mindset.
