Job Summary


CloudOffice Support is seeking a professional and detail-oriented Virtual Receptionist to provide high-quality administrative and customer support services remotely. The ideal candidate will be the first point of contact for clients, handling inquiries, managing calls, scheduling appointments, and ensuring smooth communication. This role is perfect for individuals who are organized, tech-savvy, and excel at delivering exceptional customer experiences in a virtual environment.




Key Responsibilities



  • Answer and manage inbound calls in a professional and friendly manner.

  • Greet clients virtually, providing assistance and resolving queries promptly.

  • Schedule and confirm appointments, meetings, and follow-ups using online calendars.

  • Handle email correspondence and forward important messages to the appropriate department.

  • Maintain accurate client records and update CRM systems as required.

  • Provide information about services, pricing, and policies to potential and existing customers.

  • Manage and prioritize tasks to ensure timely completion of administrative duties.

  • Handle basic troubleshooting or direct queries to the right personnel.

  • Ensure a positive and efficient virtual front-desk experience at all times.




Required Skills and Qualifications



  • Strong verbal and written communication skills in English.

  • Excellent organizational skills and attention to detail.

  • Proficiency in using Microsoft Office Suite, Google Workspace, and CRM tools.

  • Ability to multitask and handle multiple priorities under minimal supervision.

  • Comfortable working with VoIP systems and virtual communication tools (Zoom, Teams, etc.).

  • Professional phone etiquette and customer service skills.




Experience



  • Minimum: 1 year of experience in a receptionist, administrative assistant, or customer service role.

  • Preferred: Experience in remote work or virtual assistance roles.




Working Hours



  • Flexible working schedule; availability during standard business hours (Monday to Friday).

  • Options for part-time or full-time shifts, depending on client requirements.

  • Knowledge of office administration and standard operating procedures.

  • Ability to maintain confidentiality and handle sensitive information with discretion.

  • Strong problem-solving and decision-making skills.
