Job Summary
ProServe Admin is seeking a detail-oriented and proactive Administrative Officer to oversee daily office operations, manage administrative processes, and ensure seamless organizational functioning. The ideal candidate will be highly organized, possess strong communication skills, and demonstrate the ability to manage multiple tasks effectively. This role is crucial to maintaining efficiency across departments and supporting leadership in decision-making.
Key Responsibilities
- Oversee and manage day-to-day administrative operations.
- Coordinate internal and external communications, including emails, phone calls, and documentation.
- Maintain and organize records, files, and databases for easy access and compliance.
- Prepare reports, presentations, and other official documents for management.
- Schedule and coordinate meetings, conferences, and company events.
- Manage office supplies inventory and liaise with vendors for procurement.
- Monitor budgets and handle basic financial administrative tasks, including invoices and expense reports.
- Ensure company policies and procedures are implemented effectively across departments.
- Support HR functions such as onboarding, maintaining employee records, and assisting with recruitment activities.
Required Skills and Qualifications
- Bachelor’s degree in Business Administration, Management, or a related field.
- Proven experience in administrative or office management roles.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint) and other administrative software.
- Excellent written and verbal communication skills.
- Strong organizational and time-management abilities.
- Ability to maintain confidentiality and handle sensitive information with integrity.
Experience
- Minimum: 2–4 years in an administrative or office management role.
- Preferred: Experience in supporting senior management or working in a corporate environment.
Working Hours
- Standard office hours: Monday to Friday, 9:00 AM – 6:00 PM
- Flexibility may be required for urgent business needs.
