Job Summary


FileCare Solutions is seeking a detail-oriented and organized Office Records Clerk to manage, maintain, and safeguard the company’s physical and digital records. This role is critical in ensuring accurate filing, efficient retrieval, and compliance with company policies and data security standards. The ideal candidate should possess strong organizational skills, excellent attention to detail, and the ability to work with sensitive information discreetly.




Key Responsibilities



  • Maintain, update, and organize both physical and electronic records in an accurate and timely manner.

  • Ensure proper classification, indexing, and storage of documents for easy retrieval.

  • Assist in digitizing physical files and uploading them into the company’s record management system.

  • Verify the accuracy of data and documentation before filing or archiving.

  • Respond to record requests from internal departments, ensuring confidentiality and compliance with company policies.

  • Monitor retention schedules and ensure timely disposal or archiving of outdated records.

  • Maintain a log of all incoming and outgoing files for accountability.

  • Assist in developing and implementing record management policies and procedures.




Required Skills and Qualifications



  • High school diploma or equivalent; an associate degree in office administration or related field is a plus.

  • Proficiency in MS Office Suite (Word, Excel, Outlook) and document management systems.

  • Strong organizational and time management skills.

  • Attention to detail with high accuracy in data entry.

  • Ability to maintain confidentiality and handle sensitive information responsibly.

  • Basic knowledge of records management principles and practices.




Experience



  • Minimum: 1–2 years of experience in office administration, clerical work, or records management.

  • Preferred: Experience in document control or working in a corporate filing environment.




Working Hours



  • Monday to Friday: 9:00 AM – 5:30 PM

  • Occasional flexibility may be required during peak filing periods.




Knowledge, Skills, and Abilities



  • Knowledge of filing systems (alphabetical, numerical, chronological).

  • Ability to work independently and as part of a team.

  • Good verbal and written communication skills.

  • Problem-solving attitude with a focus on accuracy and efficiency.
