OneTech Associates is seeking a highly organized and detail-oriented Virtual Assistant - Executive Assistant with billing experience to support our executive team. The ideal candidate will provide administrative, clerical, and billing-related support, ensuring seamless day-to-day operations. This role is perfect for a self-motivated individual with excellent communication skills and a strong background in billing and executive assistance.


Key Responsibilities

  • Provide high-level administrative support to executives, managing schedules, emails, and correspondence.

  • Handle billing tasks, including invoicing, payment tracking, and reconciliation.

  • Coordinate meetings, prepare agendas, and take minutes during executive meetings.

  • Maintain and organize electronic files, reports, and documentation.

  • Assist in preparing reports, presentations, and business correspondence.

  • Serve as a point of contact for internal and external stakeholders.

  • Conduct research and compile data as needed.

  • Manage confidential information with discretion.

  • Support ad hoc projects as required by executives.


Required Skills and Qualifications

  • Proven experience as a Virtual Assistant, Executive Assistant, or in a similar administrative role.

  • Strong background in billing, invoicing, and payment tracking.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and G-Suite tools.

  • Excellent communication skills, both written and verbal.

  • Ability to multitask and prioritize tasks effectively.

  • High level of professionalism and confidentiality.

  • Strong problem-solving and organizational skills.

  • Tech-savvy with the ability to quickly learn new software and tools.


Experience

  • 3+ years of experience as a Virtual Assistant, Executive Assistant, or Billing Specialist.

  • Experience working in a remote setting is preferred.

  • Prior experience handling financial transactions or working with accounting software is a plus.


Working Hours

  • Full-time position (40 hours per week).

  • Flexible work hours but must be available during core business hours.
