Job Summary
OceanGlide Cruises is seeking a detail‑oriented and people‑centric HR Assistant to support end‑to‑end applicant screening and drive crew welfare initiatives across our global fleet. You will coordinate high‑volume recruitment pipelines, verify maritime compliance documents, schedule assessments/interviews across time zones, and act as a first‑line point of contact for onboard and shore-based crew welfare queries. Key Responsibilities
Applicant Screening & Hiring Operations
- Manage high-volume applicant pipelines via the ATS/HRIS (e.g., Workday, SAP SuccessFactors, BambooHR).
- Conduct resume screening, shortlist qualified candidates, and coordinate interviews, assessments, and reference checks.
- Validate statutory and maritime documents (MLC 2006, STCW certificates, seafarer medicals, visas, passports).
- Maintain accurate candidate data, stage movements, and status communications.
- Prepare and issue offer letters, pre-boarding packs, and onboarding checklists.
Crew Welfare & Employee Support
- Serve as the first point of contact for crew welfare concerns (health, mental well-being, payroll queries, accommodation, rotations, leave management).
- Coordinate with onboard HR, Medical, Payroll, and Operations to resolve cases promptly.
- Support wellness programs, engagement surveys, recognition initiatives, and retention efforts.
- Track and escalate critical issues (grievances, harassment, safety incidents) following policy.
Compliance, Documentation & Reporting
- Ensure meticulous adherence to MLC 2006, flag-state requirements, GDPR/data privacy, and company SOPs.
- Maintain digital personnel files, contract records, and rotation rosters.
- Generate weekly/monthly dashboards (time-to-hire, attrition, welfare case SLAs, compliance completion).
- Support internal/external audits and port-state inspections with complete documentation.
Process Improvement & Stakeholder Collaboration
- Identify gaps and propose process enhancements to improve candidate/crew experience.
- Collaborate with Recruitment, Fleet HR, Payroll, Medical, and Operations to ensure seamless HR service delivery.
- Assist in HR projects such as HRIS rollouts, policy updates, and onboarding automation.
Required Skills and Qualifications
- Bachelor’s degree in Human Resources, Business Administration, Psychology, Hospitality Management, or related field.
- Strong understanding (or willingness to learn quickly) of maritime HR frameworks (MLC 2006, STCW, flag-state compliance).
- Proficiency with ATS/HRIS platforms and MS Office/Google Workspace (advanced Excel/Sheets a plus).
- Excellent written and verbal communication skills in English; additional languages are a plus.
- High attention to detail, confidentiality, and accuracy in documentation.
- Ability to prioritize and manage multiple requisitions, cases, and deadlines across time zones.
- Empathy, cultural sensitivity, and professional discretion when handling welfare/employee relations issues.
Experience
- 1–3 years of experience in HR, recruitment coordination, or crew administration (hospitality, aviation, shipping, or cruise industry experience is an advantage).
- Exposure to high-volume hiring, shift-based support, or distributed/global teams preferred.
Working Hours
- Flexible/shift-based schedule to support global operations and vessels operating across multiple time zones.
- Occasional weekend or holiday coverage on a rota basis.
- Hybrid/remote shore-based role with potential short visits to vessels, manning agencies, or training centers as needed.
Knowledge, Skills, and Abilities
- Knowledge of employment laws, data privacy, and ethical HR practices.
- Familiarity with maritime medical and certification standards (e.g., ENG1, STCW, Yellow Fever vaccination) is a plus.
- Strong organizational and case-management skills with a service mindset.
- Ability to maintain composure and confidentiality under pressure.
- Analytical mindset to interpret HR metrics and recommend improvements.
