Job Summary

SmartOffice Hub is seeking a highly organized and proactive Admin Support Specialist to join our remote team. This role is crucial in ensuring smooth day-to-day operations, providing administrative support across departments, and maintaining effective communication channels. The ideal candidate will be detail-oriented, tech-savvy, and capable of managing multiple tasks efficiently in a remote work environment.

Key Responsibilities

  • Provide administrative support to management and team members, including scheduling, correspondence, and document preparation.
  • Manage and maintain digital filing systems, ensuring accurate record-keeping and easy retrieval of information.
  • Coordinate virtual meetings, prepare agendas, and take detailed minutes.
  • Assist with onboarding new team members and support HR-related documentation.
  • Monitor and respond to emails, calls, and other communications professionally and promptly.
  • Track project progress and assist in generating reports for management review.
  • Support team members with data entry, presentation preparation, and other administrative tasks as required.

Required Skills and Qualifications

  • Proven experience as an administrative professional or in a similar role.
  • Excellent written and verbal communication skills in English.
  • Strong organizational and time management abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
  • Ability to work independently, prioritize tasks, and meet deadlines in a remote setting.
  • Comfortable with digital collaboration tools such as Slack, Zoom, or Trello.

Experience

  • Minimum of 1–3 years of experience in administrative support, office management, or related roles.
  • Experience in remote work environments is highly preferred.

Working Hours

  • Full-time, flexible remote working hours.
  • Availability during core business hours for team meetings and coordination is required.
