Job Summary

ProServe Admin is seeking a highly organized and proactive Administrative Officer to join our dynamic team. The ideal candidate will oversee day-to-day administrative operations, ensuring efficiency, smooth workflows, and compliance with company policies. This role requires a detail-oriented professional capable of managing multiple tasks, supporting senior management, and maintaining a productive work environment.

Key Responsibilities

  • Manage daily office operations, including scheduling, correspondence, and documentation.
  • Coordinate meetings, appointments, and company events, ensuring timely communication and organization.
  • Maintain accurate records, files, and databases while ensuring confidentiality and compliance.
  • Prepare reports, presentations, and internal communications for management and staff.
  • Assist in budget tracking, expense management, and procurement of office supplies.
  • Support HR-related activities such as onboarding, employee records management, and coordination of training sessions.
  • Liaise with internal departments, vendors, and external stakeholders to ensure smooth business operations.
  • Identify and implement process improvements to enhance administrative efficiency.

Required Skills and Qualifications

  • Bachelor’s degree in Business Administration, Management, or a related field.
  • Strong organizational, planning, and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management software.
  • Knowledge of basic accounting and budget management.
  • Ability to work independently and as part of a team.

Experience

  • Minimum of 2–4 years of experience in administrative roles, preferably in corporate or professional services environments.
  • Experience coordinating office operations, managing records, and supporting senior management is highly desirable.

Working Hours

  • Full-time position, 40 hours per week.
  • Monday to Friday, 9:00 AM to 6:00 PM (flexible hours may be considered).
