Job Summary

HR Talent Solutions is seeking a highly professional and proactive Executive Virtual Assistant (EVA) to provide high-level administrative and operational support to senior executives and business leaders based in Australia. This role is ideal for a detail-oriented, tech-savvy professional who thrives in a fast-paced remote environment and can manage multiple priorities with discretion, efficiency, and excellent communication skills.

As an Executive Virtual Assistant, you will act as a trusted partner to executives, ensuring seamless day-to-day operations, optimizing workflows, and enabling leadership to focus on strategic business goals. This position requires strong organizational capabilities, exceptional time management, and the ability to work independently while maintaining a high standard of service.

Key Responsibilities

  • Provide comprehensive executive support including calendar management, scheduling meetings, and coordinating appointments across time zones.

  • Manage email correspondence, prioritize communications, and draft professional responses on behalf of executives.

  • Prepare reports, presentations, agendas, and meeting minutes with accuracy and attention to detail.

  • Coordinate virtual meetings, including setting up video conferencing, managing participants, and ensuring smooth execution.

  • Handle confidential information with a high level of integrity and discretion.

  • Conduct online research and compile data to support business decision-making.

  • Manage travel arrangements, itineraries, and expense tracking when required.

  • Liaise with internal teams, clients, and external stakeholders professionally.

  • Support project management tasks and track deadlines, deliverables, and follow-ups.

  • Continuously improve administrative processes and systems for better efficiency.

Required Skills and Qualifications

  • Excellent written and verbal communication skills in English.

  • Strong organizational and multitasking abilities.

  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace.

  • Experience using collaboration tools such as Zoom, Microsoft Teams, Slack, and project management platforms (Asana, Trello, ClickUp, etc.).

  • High level of professionalism, reliability, and confidentiality.

  • Strong problem-solving and decision-making skills.

  • Ability to work independently with minimal supervision.

  • Tech-savvy with the ability to quickly learn new systems and tools.

Experience

  • Minimum of 2–4 years of experience as a Virtual Assistant, Executive Assistant, or in a similar administrative support role.

  • Prior experience supporting senior executives, founders, or business owners is highly preferred.

  • Experience working with international clients, particularly in Australian or global business environments, is an advantage.

Working Hours

  • Full-time or part-time (depending on client needs).

  • Must be available during Australian Business Hours (AEST).

  • Typical schedule: Monday to Friday, aligned with Australian time zones.

  • Fully remote, work-from-home position.
