Job Summary

HopeLine Org, a dynamic and mission-driven non-governmental organization committed to social development and community welfare, is seeking a dedicated NGO Administration Officer. This role is pivotal in ensuring the smooth functioning of daily administrative operations, supporting program teams, and facilitating organizational efficiency. The ideal candidate will be detail-oriented, organized, and passionate about making a meaningful impact in the non-profit sector.

Key Responsibilities

  • Manage and oversee day-to-day administrative functions, including office management, documentation, and filing.
  • Coordinate meetings, events, and workshops for staff and external stakeholders.
  • Maintain accurate records of programs, projects, and organizational correspondence.
  • Support the HR function by assisting with recruitment, onboarding, and employee records maintenance.
  • Prepare reports, presentations, and internal communications for management review.
  • Assist in budgeting, procurement, and resource allocation for various programs.
  • Ensure compliance with organizational policies, procedures, and statutory regulations.
  • Liaise with vendors, donors, and partners to facilitate smooth operations.
  • Provide administrative support to senior management and program teams as required.

Required Skills and Qualifications

  • Bachelor’s degree in Business Administration, Management, or related field.
  • Strong organizational, multitasking, and time-management skills.
  • Excellent written and verbal communication skills in English.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and basic office management tools.
  • Knowledge of NGO operations, project management, and compliance requirements.
  • Ability to work independently and collaboratively in a fast-paced environment.

Experience

  • Minimum 2–4 years of experience in administration, preferably within the NGO or non-profit sector.
  • Experience handling multiple tasks, office management, and coordination of events or projects is highly desirable.

Working Hours

  • Full-time role, Monday to Friday, 9:00 AM – 5:30 PM (flexibility required during events or program deadlines).
  • Occasional weekend or extended hours may be required based on organizational needs.
