Job Summary

VirtuOffice Ltd, a leading provider of innovative virtual office solutions, is seeking a highly organized and proactive Remote Office Coordinator to join our growing team. This role is ideal for a professional who thrives in a dynamic virtual environment and can seamlessly manage administrative tasks while ensuring smooth day-to-day operations. The successful candidate will act as the central point of contact for internal teams, clients, and vendors, maintaining efficiency and high standards of service across all virtual office operations.

Key Responsibilities

  • Coordinate and manage daily virtual office activities to ensure operational efficiency.
  • Schedule, organize, and support virtual meetings, webinars, and team events.
  • Maintain accurate records, documents, and reports in digital filing systems.
  • Serve as the first point of contact for client inquiries, providing timely and professional support.
  • Assist in onboarding new team members and support internal communication across remote teams.
  • Liaise with vendors and service providers to ensure smooth office services.
  • Monitor office supplies and coordinate procurement or digital subscriptions as needed.
  • Support HR and finance teams with administrative and operational tasks.
  • Continuously suggest process improvements to enhance remote office productivity.

Required Skills and Qualifications

  • Bachelor’s degree in Business Administration, Management, or a related field.
  • Proven experience in office administration, coordination, or executive support, preferably in a remote or virtual setting.
  • Proficiency in Microsoft Office Suite, Google Workspace, and virtual collaboration tools (Zoom, Slack, Teams, etc.).
  • Strong organizational and multitasking skills with a high attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to handle confidential information with discretion.

Experience

  • Minimum 2–4 years of experience in office administration, coordination, or a similar role.
  • Prior experience supporting remote or distributed teams is highly desirable.

Working Hours

  • Full-time, remote position.
  • Flexible working hours with a standard expectation of 40 hours per week.
  • Occasional participation in meetings across different time zones may be required.
