TimeBridge Solutions is seeking a highly organized and detail-oriented Remote Scheduling Assistant to join our dynamic team. In this role, you will play a pivotal part in managing calendars, coordinating meetings, and ensuring smooth scheduling processes for our executives and clients. As a Remote Scheduling Assistant, you will be the backbone of efficient time management within the organization, ensuring deadlines are met and priorities are balanced seamlessly.

Key Responsibilities

  • Manage and maintain complex calendars for executives, including scheduling meetings, appointments, and travel arrangements.
  • Coordinate internal and external meetings, ensuring all participants have necessary information and materials.
  • Act as a liaison between executives, clients, and team members to streamline scheduling and communications.
  • Send reminders and follow-ups for upcoming meetings or deadlines.
  • Handle last-minute scheduling changes efficiently and professionally.
  • Prepare reports or summaries related to scheduled activities when required.
  • Maintain confidentiality of sensitive information.
  • Assist with other administrative tasks as needed to support the team.

Required Skills and Qualifications

  • Excellent organizational and time-management skills.
  • Strong attention to detail and accuracy.
  • Exceptional written and verbal communication skills in English.
  • Proficiency with calendar management tools (e.g., Google Calendar, Microsoft Outlook).
  • Familiarity with virtual meeting platforms (Zoom, Teams, Google Meet).
  • Ability to multitask and prioritize effectively in a remote work environment.
  • Professional demeanor and strong interpersonal skills.

Experience

  • Minimum 1–2 years of experience in scheduling, executive assistance, or administrative support roles.
  • Experience working remotely is highly preferred.
  • Familiarity with project management tools (Trello, Asana, or similar) is a plus.

Working Hours

  • Flexible full-time schedule; primarily Monday to Friday.
  • Must be available to attend meetings during core business hours (adjustable based on client/executive time zones).
  • Occasional evening or weekend hours may be required for urgent tasks.

  • Strong organizational and problem-solving skills.
  • Ability to manage multiple priorities with minimal supervision.
