Job Summary
TimeBridge Solutions is seeking a highly organized and detail-oriented Remote Scheduling Assistant to join our dynamic team. As a Remote Scheduling Assistant, you will be the backbone of efficient time management within the organization, ensuring deadlines are met and priorities are balanced seamlessly.
Key Responsibilities
- Manage and maintain complex calendars for executives, including scheduling meetings, appointments, and travel arrangements.
- Coordinate internal and external meetings, ensuring all participants have necessary information and materials.
- Act as a liaison between executives, clients, and team members to streamline scheduling and communications.
- Send reminders and follow-ups for upcoming meetings or deadlines.
- Handle last-minute scheduling changes efficiently and professionally.
- Prepare reports or summaries related to scheduled activities when required.
- Maintain confidentiality of sensitive information.
- Assist with other administrative tasks as needed to support the team.
Required Skills and Qualifications
- Excellent organizational and time-management skills.
- Strong attention to detail and accuracy.
- Exceptional written and verbal communication skills in English.
- Proficiency with calendar management tools (e.g., Google Calendar, Microsoft Outlook).
- Familiarity with virtual meeting platforms (Zoom, Teams, Google Meet).
- Ability to multitask and prioritize effectively in a remote work environment.
- Professional demeanor and strong interpersonal skills.
Experience
- Minimum 1–2 years of experience in scheduling, executive assistance, or administrative support roles.
- Experience working remotely is highly preferred.
- Familiarity with project management tools (Trello, Asana, or similar) is a plus.
Working Hours
- Flexible full-time schedule; primarily Monday to Friday.
- Must be available to attend meetings during core business hours (adjustable based on client/executive time zones).
- Occasional evening or weekend hours may be required for urgent tasks.
