Job Summary
Rand Water is seeking a highly organized and proactive Secretary to provide comprehensive administrative support within the Water Cycle Management division. The successful candidate will play a crucial role in ensuring the smooth operation of day-to-day office functions, coordinating meetings, managing correspondence, and supporting senior management and project teams. This position demands a detail-oriented professional capable of maintaining confidentiality, managing multiple priorities, and fostering effective communication across departments.
Key Responsibilities

Provide professional administrative and secretarial support to the Water Cycle Management team, including senior managers.

Manage calendars, schedule meetings, and coordinate appointments, ensuring efficient use of time.

Prepare, proofread, and format correspondence, reports, presentations, and other documents.

Maintain accurate filing systems, both electronic and physical, ensuring documentation is accessible and organized.

Assist in the preparation of meeting agendas, taking minutes, and distributing them in a timely manner.

Act as the first point of contact for internal and external stakeholders, handling inquiries professionally.

Coordinate travel arrangements, including accommodation, transport, and itineraries for staff as required.

Support team projects by tracking deadlines, following up on action items, and ensuring compliance with internal procedures.

Perform general office duties, including managing office supplies, handling mail, and maintaining a tidy workspace.

Facilitate communication between departments to support workflow and project efficiency.
Required Skills and Qualifications

National Diploma or Bachelor’s degree in Office Administration, Business Management, or related field.

Proven experience as a Secretary, Administrative Assistant, or similar administrative role.

Excellent organizational, planning, and time-management skills.

Strong written and verbal communication skills.

Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and other office management software.

Ability to handle sensitive and confidential information with discretion.

High attention to detail and accuracy in all tasks.

Strong interpersonal skills, capable of working with diverse teams and stakeholders.
Experience

Minimum of 2–3 years of experience in an administrative or secretarial role, preferably within a water, environmental, or engineering-related organization.

Experience supporting senior management and multi-disciplinary teams is highly desirable.
Working Hours
-
Full-time role, Monday to Friday.

Standard office hours: 08:00 – 16:30.

Occasional extended hours may be required to support meetings or project deadlines.
