Job Summary

OfficeBridge Online is seeking a highly organized and proactive Virtual Office Coordinator to support our remote operations and ensure seamless administrative workflow across the company. This role requires exceptional multitasking abilities, strong communication skills, and a commitment to maintaining operational efficiency. As a Virtual Office Coordinator, you will serve as the central point of coordination for schedules, documentation, communication, and daily administrative tasks that help our virtual teams operate smoothly.

Key Responsibilities

  • Manage daily administrative tasks including scheduling, email coordination, and digital file organization.

  • Serve as the primary point of contact for internal communications and assist with virtual meeting logistics.

  • Maintain and update company databases, shared drives, and project management dashboards.

  • Coordinate virtual team events, onboarding activities, and internal announcements.

  • Prepare and distribute reports, presentations, and meeting summaries.

  • Ensure timely follow-up on tasks, deadlines, and departmental requests.

  • Assist in workflow optimization by recommending and implementing improved administrative processes.

  • Support leadership with special projects and confidential assignments when required.

Required Skills and Qualifications

  • Strong written and verbal communication skills.

  • Excellent time-management and organizational abilities with high attention to detail.

  • Proficiency with remote work tools such as Google Workspace, Microsoft Office, Zoom, Slack, and project management tools (e.g., Asana, Trello).

  • Ability to multitask and prioritize in a fast-paced, fully remote environment.

  • Strong problem-solving skills and initiative-driven mindset.

  • Professional and reliable with the ability to maintain confidentiality.

Experience

  • 1–3 years of experience in administrative support, virtual assistance, office coordination, or a similar role.

  • Prior experience working in a remote or hybrid environment is highly preferred.

  • Experience handling multiple teams or departments is an advantage.

Working Hours

  • Fully remote position with flexible scheduling.

  • Core availability required: Monday to Friday, 9:00 AM – 5:00 PM (based on company timezone).

  • Occasional availability for virtual meetings outside standard hours may be required.

  • Strong understanding of digital office management and remote communication practices.

  • Ability to maintain structured workflows and uphold operational standards.
