Job Summary
DataEase Virtual is seeking a highly organized and proactive Executive Virtual Assistant to support our C-Suite executives in a dynamic, remote work environment. The ideal candidate will serve as a trusted partner, managing complex schedules, streamlining communications, and ensuring operational efficiency. This role requires discretion, exceptional organizational skills, and the ability to anticipate the needs of top-level executives, enabling them to focus on strategic priorities.
Key Responsibilities
- Provide comprehensive administrative support to C-Suite executives, including calendar management, meeting coordination, and travel arrangements.
- Draft, proofread, and manage correspondence, reports, presentations, and confidential documents.
- Serve as the primary point of contact between executives, internal teams, and external stakeholders.
- Organize and prioritize multiple tasks and projects, ensuring deadlines are met without compromising quality.
- Conduct research, compile data, and prepare summaries for executive decision-making.
- Coordinate virtual meetings, video conferences, and company events, including agendas and follow-up action items.
- Maintain high levels of confidentiality, professionalism, and discretion in all communications.
- Assist with special projects, operational processes, and ad hoc tasks as requested by the executive team.
Required Skills and Qualifications
- Proven experience as an Executive Assistant, Virtual Assistant, or similar administrative role supporting senior executives.
- Exceptional organizational, time management, and multitasking skills.
- Strong written and verbal communication skills in English.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual collaboration tools (Zoom, Slack, Teams).
- Ability to work independently with minimal supervision and manage competing priorities.
- High level of professionalism, discretion, and integrity when handling confidential information.
Experience
- Minimum of 3–5 years of experience supporting C-Level executives in a fast-paced or remote environment.
- Experience managing complex calendars, travel schedules, and executive correspondence.
- Familiarity with project management and collaboration platforms is a plus.
Working Hours
- Full-time, remote position.
- Flexible schedule with availability to overlap with executive’s working hours, typically 9:00 AM – 5:00 PM (flexible).
- Occasional participation in virtual meetings outside standard business hours may be required.
