Job Summary
OceanGlide Cruises is seeking a highly organized and detail-oriented Cruise Job Documentation Executive – Staff Onboarding and Contracts to join our Human Resources and Crew Administration team. This role is responsible for managing employment documentation, onboarding formalities, contract processing, compliance verification, and employee records for shipboard and shore-based crew members.
The ideal candidate will play a critical role in ensuring all crew documentation is accurate, legally compliant, and completed within recruitment timelines. You will work closely with recruitment teams, operations managers, travel coordinators, and new hires to facilitate a smooth onboarding process for employees joining our vessels worldwide.
Key Responsibilities

Prepare, review, and process employment contracts, offer letters, onboarding forms, and crew documentation.

Verify candidate documents including passports, visas, medical clearances, training certificates, and background verification records.

Coordinate with recruitment teams to ensure timely collection of required onboarding documents.

Maintain digital and physical personnel files while ensuring data confidentiality and compliance with company standards.

Monitor contract expiry dates, renewal schedules, and deployment timelines.

Coordinate travel and joining formalities for crew members assigned to vessels.

Communicate onboarding requirements, joining instructions, and policy updates to employees.

Ensure all employment documentation complies with maritime labor regulations and company procedures.

Assist in orientation scheduling and onboarding presentations for newly hired crew members.

Generate reports related to onboarding progress, compliance status, and contract tracking.

Resolve documentation discrepancies and follow up with employees or agencies for missing information.

Support HR audits, inspections, and compliance reviews as required.
Required Skills and Qualifications

Bachelor’s degree in Human Resources, Business Administration, Office Management, or a related discipline.

Strong understanding of document verification and administrative processes.

Excellent written and verbal communication skills in English.

Proficiency in Microsoft Office applications, especially Excel, Word, and Outlook.

Experience using HR systems, employee databases, or document management software is preferred.

Ability to maintain confidentiality and handle sensitive employee information.

Experience

Minimum 1–3 years of experience in HR administration, employee onboarding, documentation processing, recruitment support, or contract management.

Previous experience in hospitality, travel, shipping, aviation, or cruise operations is considered an advantage.

Fresh graduates with strong administrative capabilities may also be considered for junior positions.
Working Hours

Full-time position.

8–9 hours per day, 5–6 days per week depending on operational requirements.

Flexibility to support international crew deployment schedules across different time zones.

Occasional weekend support may be required during peak recruitment periods.
