Job Description

Job Summary

Rand Water is seeking a highly organized and detail-oriented Secretary – Water Cycle Management – Admin Support to provide comprehensive secretarial and administrative support to the Water Cycle Management division. The successful candidate will ensure smooth office operations, efficient document management, meeting coordination, and administrative excellence while supporting operational and strategic departmental objectives.

This role requires an individual with strong organizational skills, excellent communication abilities, confidentiality, and the ability to work effectively in a technical and operational environment.


Key Responsibilities

  • Provide full secretarial and administrative support to departmental managers and team members.
  • Coordinate meetings, prepare agendas, record minutes, and distribute action items.
  • Manage calendars, appointments, and departmental scheduling requirements.
  • Handle incoming correspondence, emails, phone calls, and internal communications.
  • Prepare reports, presentations, letters, and official documentation.
  • Maintain accurate filing systems, both electronic and physical records.
  • Process travel arrangements, accommodation bookings, and expense documentation.
  • Assist with procurement administration, purchase requisitions, and supplier documentation.
  • Monitor office supplies and ensure adequate inventory levels.
  • Support project administration activities related to water cycle operations.
  • Ensure compliance with organizational administrative policies and procedures.
  • Coordinate departmental events, workshops, and stakeholder engagements.

Required Skills and Qualifications

Academic Qualifications

  • Grade 12 / Matric certificate.
  • Diploma or Certificate in Office Administration, Secretarial Studies, Business Administration, or related field.

Professional Requirements

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Knowledge of office management systems and administrative procedures.
  • Understanding of corporate governance and record management practices.

Experience

  • Minimum 3–5 years of proven secretarial or administrative support experience.
  • Experience supporting senior managers or executives within engineering, utilities, infrastructure, or public sector environments is advantageous.
  • Experience in handling confidential documentation and sensitive information.

Working Hours

  • Monday to Friday.
  • Standard office hours: 08:00 AM – 05:00 PM.
  • Additional hours may occasionally be required based on operational needs or project deadlines.
