Job Description

Job Summary

The Technical Clerk – Medical Records and Information Management is responsible for ensuring accurate, secure, and efficient handling of patient medical records within the hospital’s health information system. This role supports clinical and administrative teams by maintaining complete, compliant, and easily retrievable patient data. The position plays a critical role in safeguarding patient confidentiality and ensuring adherence to healthcare data management standards and regulatory requirements.


Key Responsibilities

  • Maintain, organize, and update patient medical records in both physical and electronic formats
  • Ensure accuracy, completeness, and consistency of health information data
  • Retrieve and file patient records efficiently upon request by authorized personnel
  • Support coding, indexing, and classification of medical documents
  • Ensure compliance with data protection, confidentiality, and hospital policies
  • Assist in auditing and quality checks of medical records
  • Coordinate with medical, nursing, and administrative departments for record verification
  • Manage scanning, digitization, and archiving of medical files
  • Track missing or incomplete records and follow up accordingly
  • Support reporting and data extraction for clinical and administrative use

Required Skills and Qualifications

  • Diploma or Certificate in Health Information Management, Medical Records, or related field
  • Strong understanding of medical terminology and hospital documentation systems
  • Proficiency in MS Office and electronic health record (EHR) systems
  • Excellent organizational and file management skills
  • Strong attention to detail and accuracy
  • Good communication and interpersonal skills
  • Ability to maintain confidentiality at all times

Experience

  • 1–2 years of experience in medical records, hospital administration, or health information systems preferred
  • Fresh graduates with relevant qualifications may be considered

Working Hours

  • Full-time position
  • Rotational shifts depending on hospital operational requirements
  • May include weekends and public holidays based on scheduling needs

Knowledge, Skills, and Abilities

  • Understanding of healthcare documentation standards and compliance requirements
  • Knowledge of patient confidentiality laws and data protection regulations
  • Ability to work under pressure in a fast-paced healthcare environment
  • Strong analytical and problem-solving abilities
  • High level of accuracy in data entry and record handling
