Job Summary

To deliver project management administrative support services through the execution of predefined objectives as per agreed standard operating procedures and policies.

Support delivery of small to medium enhancements across the business.

• To manage small change local to their country of residence or act as an implementation manager for their country of residence for larger projects. Ensuring that the project is delivered on time, to budget, quality and in compliance with Absa Africa project policies and methodologies.

• In the delivery of programmes or projects will follow and apply Absa Africa project practices, standards and methodologies as defined form time to time.

• Responsible for supporting the project/programme manager in production and maintenance of plans.

• Responsible for project/programme manager with governance & control, change resourcing for the project/programme and the provision of project/programme reporting capability.

• Responsible for maintaining workflow, budget and planning standards.

• Responsible for general administrative tasks within the Project Management Office (PMO)

Job Description

Accountability and time split: PROJECT MANAGEMENT: 50%

OUTPUTS:

  • Evaluate business need for change and create or assist in creation of business case.
  • Define, scope and plan the project and agree structure and deliverables.
  • Obtain sign-off of business case from Project Sponsor as appropriate.
  • Prepare and agree detailed project/sub project responsibilities.
  • Agree resource requirements with Local PSO, Business, IT Support Exc.
  • Responsible for small Project Management initiatives, acting either alone or managing small numbers of staff (often from the BAU line who are often seconded part-time to the project).
  • Manage compliance with Absa Africa project practices and methodologies.
  • Comply with the appropriate structures established and maintained by the Project Manager, to ensure the delivery of projects.
  • Prepare current and accurate forecast of costs, cashflow, timescales and resource requirements and agree with the Project Steering Committee
  • Identify all products and tasks associated with their completion.  Prepare and maintain detailed and accurate project and resource plans, with current estimates for activity completion.
  • Prepare and agree detailed project plans to meet project objectives on time and within budget.
  • Co-ordinate, review and report project progress against plan escalating issues when appropriate.
  • Follow agreed controls for resource, schedule and quality.
  • Organise and manage sub-project staff and set up and chair team and Management meetings as appropriate.
  • Demonstrate effective stakeholder management (minimal engagement required).
  • Identify areas of risk, concern, change and issue management procedures, making recommendations as appropriate.
  • Ensure business benefits are owned and delivered.
  • Manage the hand over of project deliverables and completion of the project.

STAFF MANAGEMENT Time Split: 20 %

OUTPUTS:

  • Agree resource plans with the Project Manager and manage and lead sub-project team.
  • Set work scope and targets for the sub-project work-streams and monitor, control and support sub-project manager performance.
  • Identify any training needed to support project implementation, planning delivery of training within project     timescales.
  • Contribute to the performance assessment of staff undertaking sub-project work.
  • Provide coaching and guidance to sub-project staff to ensure high standards of deliverables. Encouraging contribution and feedback from the team.

PMO MANAGEMENT

Time Split: 25%

OUTPUTS

  • Supporting the relevant project managers and other team members in the delivery of projects
  • Transcribing project meetings and writing minutes
  • Preparation and submission of PMO reports as per Absa Africa Change reporting timelines
  • Processing expense claims and payments to suppliers
  • Organising meetings and events
  • Joint responsibility  for the smooth running of the Programme Office in terms of maintenance of office records, servicing of equipment and machines, snap checks and mandatory security checks
  • Managing other administrative tasks as and when they arise.
