Job Summary


SmartOffice Hub is seeking a detail-oriented and highly organized Admin Support Specialist to join our remote team. In this role, you will provide administrative support to ensure the efficient operation of our business processes. You will handle various administrative tasks, including managing communications, preparing reports, scheduling, and maintaining records. The ideal candidate is proactive, reliable, and able to manage multiple tasks in a fast-paced virtual environment.




Key Responsibilities



  • Provide administrative support to different departments to ensure smooth day-to-day operations.

  • Manage and respond to emails, phone calls, and other communications promptly and professionally.

  • Schedule meetings, manage calendars, and coordinate virtual events for team members.

  • Prepare and maintain accurate records, reports, and presentations using MS Office or similar tools.

  • Assist in data entry, document management, and file organization.

  • Monitor and manage internal communication tools and project management systems.

  • Support HR and finance teams with administrative tasks such as onboarding, payroll updates, and compliance documentation.

  • Identify process improvements and assist in implementing efficiency strategies.




Required Skills and Qualifications



  • Bachelor’s degree in Business Administration, Management, or a related field (preferred).

  • Proven experience in administrative support or similar roles.

  • Proficiency in MS Office Suite (Word, Excel, PowerPoint) and collaboration tools like Google Workspace, Slack, and Zoom.

  • Excellent written and verbal communication skills.

  • Strong time-management and organizational abilities.

  • Ability to work independently and maintain confidentiality of sensitive information.




Experience



  • Minimum: 1-3 years of experience in an administrative or virtual assistant role.

  • Experience working in a remote or virtual environment is an added advantage.




Working Hours



  • Flexible remote working schedule.

  • Core hours: 9:00 AM – 5:00 PM (based on client time zone).

  • Occasional overtime may be required to meet deadlines.




Knowledge, Skills, and Abilities



  • Knowledge of administrative and clerical procedures.

  • Familiarity with project management tools (Trello, Asana, or similar).

  • Ability to prioritize tasks and manage multiple projects simultaneously.

  • Strong problem-solving skills and adaptability to changing priorities.

  • High attention to detail and accuracy.
