Job Summary
AccurateEntry Solutions is seeking a detail‑obsessed Data Capturer to convert source documents into clean, structured, and searchable digital records. This is an entry‑level position that’s perfect for fast typists with a strong eye for accuracy, basic spreadsheet knowledge, and a willingness to learn professional data-management standards. You’ll handle high volumes of information, maintain orderly filing systems (physical and digital), run basic quality checks, and help the team keep our databases current, consistent, and compliant.
Key Responsibilities
- Data Entry & Validation
- Enter, update, and verify large volumes of data from multiple sources (forms, PDFs, scanned documents, emails, spreadsheets, CRMs/ERPs).
- Perform double-entry checks, spot inconsistencies, and correct errors to maintain 99%+ accuracy.
- Apply defined data standards, naming conventions, and coding schemes.
- Document Handling & Filing
- Scan, label, index, and file documents (physical and digital) for easy retrieval.
- Maintain version control and archiving rules to ensure audit readiness.
- Quality Assurance
- Run routine data cleansing (deduplication, formatting, completeness checks).
- Flag anomalies and escalate edge cases to supervisors.
- Reporting & Tracking
- Update simple trackers and logs (e.g., task completion, error rates, turnaround times).
- Support the preparation of basic Excel reports and status summaries.
- Compliance & Security
- Handle sensitive information confidentially and in line with data protection and privacy policies.
- Follow SOPs, checklists, and documented workflows consistently.
- Team Support
- Collaborate with operations, admin, and QA teams to meet daily/weekly SLAs.
- Participate in training sessions and contribute to continuous process improvement.
Required Skills and Qualifications
- Education: High school diploma or equivalent required; diploma/degree in Business Administration, Information Management, or related fields is a plus.
- Typing speed: 45+ WPM with high accuracy (please include your typing score/certificate, if available).
- Computer literacy: Comfortable with MS Excel (sorting, filtering, basic formulas), Word, Google Workspace, and email tools.
- Attention to detail: Demonstrable ability to spot errors, inconsistencies, and formatting issues.
- Organization: Strong filing, indexing, and document management habits.
- Communication: Clear written and verbal communication skills.
- Confidentiality: Strong understanding of data privacy and secure handling of information.
Experience
- 0–1 year of experience in data entry, records management, back-office operations, or administrative support (freshers welcome).
- Exposure to CRM/ERP platforms, ticketing tools, or EDRMS (Electronic Document & Records Management Systems) is advantageous but not mandatory.
- Prior experience working with bulk data, scanning, or digitization projects is a plus.
Working Hours
- Standard: Monday to Friday, 9:00 AM – 6:00 PM (with a 1-hour break).
- Occasional overtime or weekend work may be required during peak volumes (compensatory time or overtime pay as per policy).
- Flexible/shift options may be available based on project needs.
Knowledge, Skills, and Abilities (KSAs)
- Knowledge
- Basic understanding of data quality concepts (accuracy, completeness, consistency, timeliness).
- Familiarity with file formats (CSV, XLSX, PDF, DOCX, JPG/TIFF scans).
- Awareness of data protection and confidentiality standards.
- Skills
- Fast and accurate touch typing.
- Excel fundamentals (data validation, basic formulas, pivot exposure is a plus).
- Document scanning/indexing and structured file naming.
- Abilities
- Work to tight deadlines and SLAs with minimal errors.
- Follow documented SOPs and update them when processes change.
- Prioritize tasks and manage repetitive work with consistency and focus.
