Job Summary


TimeBridge Solutions is seeking a highly organized and detail-oriented Remote Scheduling Assistant to manage appointments, meetings, and calendars for our clients and internal teams. This role requires exceptional communication skills, strong time management abilities, and the ability to work in a fast-paced remote environment. The ideal candidate is proactive, tech-savvy, and able to handle multiple tasks efficiently while ensuring accuracy and professionalism in all interactions.




Key Responsibilities



  • Manage and coordinate calendars for executives and team members, scheduling meetings and appointments across multiple time zones.

  • Send meeting invitations, reminders, and follow-ups to ensure smooth coordination.

  • Handle rescheduling requests and resolve conflicts promptly and efficiently.

  • Maintain accurate and up-to-date records of all scheduled activities.

  • Liaise with clients, vendors, and internal teams to confirm appointments and ensure timely communication.

  • Utilize scheduling software and tools (e.g., Google Calendar, Microsoft Outlook, Zoom) for seamless planning.

  • Provide administrative support, such as organizing virtual meetings and preparing agendas.

  • Anticipate scheduling needs and suggest solutions to optimize time management.




Required Skills and Qualifications



  • Strong organizational skills with meticulous attention to detail.

  • Excellent written and verbal communication skills in English.

  • Proficiency in using scheduling tools and collaboration platforms (Google Workspace, Microsoft Office, Zoom).

  • Ability to work independently and manage multiple priorities under tight deadlines.

  • Strong problem-solving skills and adaptability in a dynamic environment.

  • Basic knowledge of time zone management for global teams.




Experience



  • Minimum 1 year of experience in an administrative, virtual assistant, or scheduling role (preferred but not mandatory for strong candidates).

  • Experience in remote work environments is an added advantage.




Working Hours



  • Flexible working hours with the ability to accommodate different time zones.

  • Availability for urgent scheduling needs outside of regular hours when required.




Knowledge, Skills, and Abilities



  • Knowledge of online scheduling tools and calendar management systems.

  • Ability to handle confidential information with discretion.
