Fresher Jobs Hub is seeking a highly organised, proactive, and detail-oriented Administrative Assistant to provide day‑to‑day office support across teams. Key Responsibilities



  • Serve as the first point of contact for internal teams and external stakeholders via email, phone, and chat.

  • Manage calendars, schedule meetings, book conference rooms, and coordinate travel/itineraries.

  • Prepare, format, and proofread documents, reports, presentations, and spreadsheets.

  • Maintain digital and physical filing systems; ensure documents are accurately stored and easily retrievable.

  • Track office supplies, raise purchase requests, and coordinate with vendors where required.

  • Assist with basic data entry, record-keeping, and database maintenance (e.g., CRM/ATS, Excel, Google Sheets).

  • Support onboarding activities (collecting documents, scheduling inductions, preparing starter kits).

  • Draft and circulate internal communications, meeting agendas, and minutes.

  • Help organise company events, trainings, and team activities.

  • Adhere to confidentiality, data protection, and organisational policies at all times.




Required Skills and Qualifications



  • Bachelor’s degree in any discipline (Business Administration, Commerce, Arts, or equivalent preferred).

  • Strong command of MS Office / Google Workspace (Docs, Sheets, Slides) and basic data handling.

  • Excellent written and verbal communication skills with a professional tone.

  • Strong attention to detail, time management, and ability to multitask.

  • Positive attitude, willingness to learn, and a service-oriented mindset.

  • Ability to work both independently and collaboratively with cross-functional teams.




Experience



  • 0–2 years of experience in an administrative, coordinator, receptionist, or office support role.

  • Internships, campus leadership roles, or volunteer experience demonstrating organisational and communication skills are a plus.




Working Hours



  • Full-time: Monday to Friday, 9:00 AM – 6:00 PM (with flexibility based on business needs).

  • Occasional extended hours during peak periods, events, or deadlines may be required (with compensatory time-off as applicable).




Knowledge, Skills, and Abilities



  • Basic knowledge of office administration practices and record management.

  • Familiarity with calendar and email management tools (e.g., Outlook, Google Calendar).

  • Problem-solving mindset with the ability to prioritise and escalate when necessary.

  • Discretion in handling sensitive information and maintaining confidentiality.

  • Adaptability to changing priorities and comfort working in a fast-paced environment.
