Job Summary
BrightView Corporate Services is seeking a polished, people-first Receptionist – Front Desk and Admin Assistant to be the face and voice of our organization. You will manage the reception area, greet visitors, coordinate calls and meetings, and provide day‑to‑day administrative support to multiple departments. The ideal candidate is organized, calm under pressure, tech-savvy, and committed to delivering an exceptional first impression—every time.
Key Responsibilities
- Front Desk Operations
- Greet and register visitors, issue badges, and ensure adherence to security protocols.
- Answer, screen, and route incoming calls and emails promptly and professionally.
- Maintain a tidy, welcoming reception area and meeting rooms.
- Administrative Support
- Manage calendars, schedule meetings, and coordinate room bookings and logistics.
- Prepare and format documents, presentations, and basic reports.
- Handle incoming/outgoing mail, courier coordination, and package tracking.
- Maintain and order office supplies; liaise with vendors and facility management.
- Support travel arrangements (flights, hotels, ground transport) when required.
- Assist HR/Finance/Operations with data entry, filing (digital & physical), and record keeping.
- Coordination & Communication
- Serve as the first point of contact for employee queries at the front desk.
- Coordinate internal events, trainings, and town halls (invitations, RSVPs, setup).
- Escalate facility or IT issues to the appropriate teams and track resolution.
- Compliance & Process
- Enforce visitor management, confidentiality, and data privacy protocols.
- Follow and help refine front office SOPs to improve efficiency and service quality.
Required Skills and Qualifications
- Bachelor’s degree (preferred) or equivalent diploma in Administration/Business/ Hospitality or related field.
- Excellent verbal and written communication skills in English; additional languages are a plus.
- Strong MS Office/Google Workspace proficiency (Word/Docs, Excel/Sheets, PowerPoint/Slides, Outlook/Calendar).
- Professional demeanor, customer-centric mindset, and high level of personal integrity.
- Proven ability to multitask, prioritize, and meet deadlines with minimal supervision.
- Strong attention to detail and accuracy in documentation and scheduling.
- Pleasant telephone etiquette and confident interpersonal skills.
Experience
- 1–3 years of experience in a Receptionist, Front Desk, Office Administrator, or Customer Service role (corporate environment preferred).
- Experience handling multi-line phone systems and visitor management tools is an advantage.
- Exposure to basic procurement, vendor coordination, or facilities support is desirable.
Working Hours
- Standard hours: Monday to Friday, 9:00 a.m. – 6:00 p.m.
- Flexibility to support occasional early/late meetings or rotational Saturday coverage, if required.
- On-site presence is mandatory to manage the reception function.

- Organization & Time Management: Capable of handling high call volumes, multiple visitors, and parallel admin tasks.
- Confidentiality: Handles sensitive employee, vendor, and client information discreetly.

- Team Collaboration: Works smoothly with HR, Admin, IT, Operations, and Leadership teams.
- Tech Readiness: Comfortable with office hardware (printers, scanners, conference systems) and basic troubleshooting.
