Job Summary
Fresher Jobs Hub is looking for a detail-obsessed, people-centric Virtual Event Coordinator to plan, produce, and flawlessly execute high-impact online events—webinars, workshops, job fairs, community AMAs, and cohort-based trainings—for our fast-growing learner and early-career professional community. You will own the end-to-end virtual event lifecycle: from concepting agendas and securing speakers to platform setup, dry runs, live moderation, real-time troubleshooting, post-event analytics, and continuous improvement. This is a remote, part-time role ideal for someone with excellent written and spoken English, strong stakeholder management, and a passion for crafting memorable digital experiences.
Key Responsibilities
- Plan & Produce: Scope event objectives, target audience, formats, timelines, and success metrics; build detailed run-of-show documents.
- Platform Ownership: Configure and manage Zoom, MS Teams, Google Meet, Hopin, Airmeet, or similar virtual event platforms (registration, breakout rooms, polls, Q&A, recordings).
- Speaker & Vendor Management: Source, brief, and coordinate speakers, moderators, and panelists; manage communication, schedules, and technical checks.
- Promotion & Registrations: Collaborate with marketing to craft compelling event pages, email campaigns, and social media posts; track registrations and attendance KPIs.
- Live Event Delivery: Host/moderate sessions, manage live chat/Q&A, handle escalations, and ensure a smooth attendee experience.
- Data & Reporting: Produce post-event reports (attendance, engagement, NPS/CSAT, conversion), derive insights, and recommend improvements.
- Content & Assets: Oversee slide decks, event scripts, briefs, post-event recordings, transcripts, and knowledge-base updates.
- Compliance & Accessibility: Ensure events follow privacy, consent, and accessibility best practices (e.g., captions, recordings notices).
- Continuous Improvement: Maintain a playbook of templates, checklists, and SOPs to streamline repeatable excellence.
Required Skills and Qualifications
- Fluent English (written & verbal) with confident on-camera presence.
- Proven ability to coordinate virtual events or webinars with 50–1,000+ registrants.
- Strong command of at least one major virtual event platform (Zoom, Teams, Hopin, Airmeet, etc.).
- Excellent project management, time management, and prioritization skills.
- Tech-savvy with quick adoption of automation, scheduling, and analytics tools (e.g., Google Workspace, Calendly, Typeform, Mailchimp/HubSpot, Notion/Trello/Asana).
- Comfortable interpreting data and presenting clear, actionable insights.
- Calm under pressure; adept at live troubleshooting.
- High attention to detail, from copy accuracy to timing and logistics.
Experience
- 1–3 years of experience in event coordination, marketing operations, community management, program management, or similar roles (virtual-first experience preferred).
- Experience working with distributed teams and global audiences is a plus.
- Prior exposure to early-career talent, ed-tech, recruitment, or community-led growth environments is advantageous.
Working Hours
- Part-time: ~15–25 hours per week (flexible).
- Core collaboration hours aligned with South Africa Standard Time (SAST).
- Must be available for occasional evening or weekend events to serve global audiences, with notice.
Knowledge, Skills, and Abilities
- Customer/attendee obsession with a hospitality mindset.
- Exceptional written communication for briefs, agendas, and follow-ups.
- Operational rigor: checklists, SOPs, QA processes.
- Familiarity with email marketing, CRM, and marketing automation workflows.
- Understanding of virtual engagement tactics (polls, breakout groups, gamification, community follow-ups).
- Ability to multitask under live conditions while maintaining professionalism.
- Strong stakeholder management across marketing, community, product, and external partners.
